Volunteer Management

1. Purpose

This policy sets out how volunteers are recruited, supported, and managed at the Lichfield Festival of Music. Volunteers play a vital role in the delivery and success of the Festival, and this policy ensures their experience is rewarding, safe, and aligned with Festival values.

2. Scope

This policy applies to all individuals volunteering in any capacity, including stewards, event assistants, technical support, front-of-house, and administration.

3. Recruitment

  • Volunteers will be recruited based on their interest, availability, and suitability for the role.
  • Roles will be advertised openly and clearly described.
  • A basic registration process will be followed to collect contact details, availability, and any relevant experience.
  • Where appropriate, references or DBS checks may be required.

4. Induction and Training

  • All volunteers will be given a short induction outlining the Festival’s aims, their responsibilities, and key policies (e.g. safeguarding, health and safety).
  • Specific guidance or training will be provided for certain roles (e.g. assisting Adjudicators, use of warm-up equipment, directing attendees).

5. Supervision and Support

  • A named contact will be available to support volunteers.
  • Volunteers will be encouraged to ask questions and raise concerns.
  • Volunteers will not be expected to carry out duties beyond their skills or comfort level.

6. Conduct and Expectations

  • Volunteers are expected to be punctual, respectful, and uphold the Festival’s values.
  • Any concerns about behaviour or performance will be handled discreetly and fairly.
  • Volunteers must follow all relevant policies (e.g. safeguarding, conflict of interest).

7. Recognition and Wellbeing

  • Volunteers will be thanked formally and informally for their contributions.
  • Breaks, refreshments, and rest areas will be provided where appropriate.
  • We value feedback from volunteers to help improve the Festival experience.

8. Insurance and Safety

  • Volunteers will be covered under the Festival’s public liability insurance while acting on behalf of the Festival.
  • Volunteers must not undertake activities that could present significant risks without training or supervision.

9. Leaving or Withdrawing

  • Volunteers are free to withdraw at any time. Where possible, advance notice is appreciated.
  • We will hold exit conversations where possible to learn from the volunteer experience.
