1. Introduction
This policy sets out guidelines for photography and filming at our Festival to ensure the safety and privacy of participants, especially children and young people, and vulnerable adults at risk. Whilst we understand that parents/carers/guardians may wish to capture memories, and that official photography can be beneficial for promotion, we have implemented safeguards to prevent the inappropriate use of images.
2. Legal Considerations
- The Festival will take into account any guidance or restrictions imposed on us by the venues, and also regularly updated guidance from the British & International Federation of Festivals (BIFF).
- Officially registered photographers have artistic copyright of their images, but the Festival retains the right to control their use by prior agreement.
- Attendees must comply with Festival policies. Non-compliance may result in disqualification or removal from the venue.
- The Festival is responsible for securing necessary permissions for filming, including rights related to performances, choreography, adjudications, and brand logos.
3. Safeguarding Concerns
To mitigate risks, we take the following precautions:
- No personal identifying information will accompany images.
- Consent for photography and filming of performers and ensembles will be sought from all entrants at the time of entry.
- Images will focus on performances rather than individuals and where possible, will avoid full-face or body shots.
- All images will be securely stored and retained only as long as necessary under GDPR regulations.
- Images of performers will always depict them in appropriate clothing and in a positive light.
4. Official Photography and Filming
Official photographers or videographers must:
- Be registered with the Festival in advance.
- Undergo an accreditation process, including providing identification and signing an agreement on image use.
- Always wear identification while working at the Festival.
- Never have unsupervised access to children or conduct one-on-one photo sessions.
- Ensure that participants and their guardians are aware of their presence and consent to identifiable images being taken and published.
5. Unofficial Photography and Filming
- Unofficial photography/filming is prohibited unless explicitly registered and approved by the Festival.
- Festival stewards will monitor compliance, and unregistered individuals may be asked to leave.
- Anyone wishing to take photographs/videos must seek official permission.
