Conflict of Interest 

1. Purpose

This guidance is intended to help committee members, adjudicators, volunteers, and other contributors to the Lichfield Festival of Music identify and manage potential conflicts of interest. It ensures transparency, fairness, and public trust in the Festival’s decisions and processes.

2. What is a Conflict of Interest?

A conflict of interest arises when a person’s judgement or actions could be (or appear to be) influenced by personal, financial, or professional relationships. This includes situations where someone may gain or be seen to gain an unfair advantage due to their role.

3. Examples of Conflicts

  • A Trustee is also an entrant or representing an entrant.
  • A committee member is involved in hiring a supplier they have a business interest in.
  • A volunteer is responsible for sponsoring an event where their friend is a performer.
  • A sponsor attempts to influence decisions.

4. Managing Conflicts

All actual or potential conflicts must be disclosed as soon as they arise.

  • Committee Members: Declare interests at the start of meetings and withdraw from decisions where conflicts exist.
  • Adjudicators: Notify the Festival in advance of any personal connections with entrants. Reassignments can be made if needed.
  • Volunteers: Avoid roles where conflicts exist and inform the event co-ordinator of any concerns.
  • General Rule: When in doubt, declare it.

5. Record Keeping

The Festival will maintain a Register of Interests for committee members and adjudicators.

Declarations will be minuted, and any actions taken will be documented to ensure transparency.

6. Consequences of Non-Disclosure

Failure to disclose a conflict may lead to reputational damage, complaints, or the need to disqualify decisions. In serious cases, it may result in removal from a Festival role.

7. Encouraging a Culture of Openness

We encourage a culture where declaring conflicts is viewed as good practice, not an admission of wrongdoing. Our aim is to uphold the Festival’s integrity, fairness, and reputation.
